How to Prepare Documents for an Online Application

Good document preparation is mostly an organized final check. Read the upload rules, make clear copies, name files sensibly, and review each file before you start the application.

Make a file checklist
List each item requested by the application, including whether it needs to be an image, a PDF, or a specific format. Note stated file-size limits, page limits, and whether multiple documents should be separate or combined.
Prepare copies in a single folder and keep originals unchanged. A simple, descriptive filename can help you avoid uploading the wrong item, but do not include sensitive information in a filename unless it is required.
Prepare each file for reading
Use a clear original scan or photo. Check that no important edge, number, seal, signature, or page is missing. If a file needs a smaller size, reduce it while keeping the relevant content readable.
When several image pages must become one PDF, arrange them in the requested order and open the finished PDF to check each page. Do not combine files if the application specifically asks for separate uploads.
Review before and after upload
Compare every prepared file with the current application instructions immediately before uploading. Requirements can change, and the portal may show limits or field-specific guidance not visible elsewhere.
After attaching a file, look for a confirmation, filename, or preview in the portal. Save a copy of what you submitted when that is appropriate for your records.
